Welcome! This guide will help you understand the key sections of the Users & Accounts section of the portal so you can navigate and manage user-related tasks with confidence.
Overview of User Management Sections
1. Users
This section displays all active users in the system. You can view profiles, manage permissions, and monitor activity.
2. Users (Unconfirmed)
Here you'll find users who have registered but haven't completed their account verification. Follow up or resend confirmation emails as needed.
3. Employees
This area is dedicated to internal staff accounts. It allows you to manage employee access, roles, and credentials separately from general users.
4. Migrate User Email
Use this tool to update or transfer user email addresses.
5. Legacy Members
Legacy Members are records of users from other POS systems. This section is for searching/creating legacy records.
6. Fleet Accounts
Fleet Accounts represent groups or organizations, such as corporate clients or transportation teams. Manage bulk permissions and transactions here.
7. Kiosk Transactions
This section tracks user interactions made through kiosks. Useful for monitoring in-person activity and troubleshooting issues.
8. All Transactions
A comprehensive log of all user-related transactions, including purchases, logins, and updates. Ideal for audits and reporting.
User Management Dashboard Overview
This section provides a centralized view for searching for user accounts using various options.
Here's a breakdown of its key components:
Search & Filter Options
Search Fields:
Name or Email
Phone
Vehicle
Member Status Dropdown – Used to filter users by account status (e.g., active, inactive, pending).
Show Deleted Checkbox – Allows visibility into accounts that have been removed or archived.
User Data Columns
Name – Full name of the user.
Email – Registered email address.
Phone Number – Contact number.
License Plates – Associated vehicle license plate(s).
RFIDs – RFID tags linked to the user, possibly for access or tracking.
Created – Date the account was created.
Referral – Indicates if the user was referred by someone else.
Device Registration & Actions – Partially visible but likely includes device info and management actions (e.g., edit, delete, view history).
Controls
REFRESH Button – Updates the user list after applying changes.
User Account Overview
When you open a user’s account, you’ll see a clear dashboard where you can view and manage their details and activity.
Here’s a brief breakdown of the main and secondary tabs:
General
User Information - Name, Phone Number, Birthdate, Etc.
Roles & Access - Role information, Device registration options, Temp Password settings
Notification Settings - What types of notifications are enabled for this account
Integrations
Manually Record Coupon - Manually add coupons to the account. Better to add these directly under the Vehicles tab
Accounts/Garage Function
Garage Function - Customers can arrange their vehicles into different garages, each with their own set of information.
Garage dropdown - Allows you to select which garage you want to edit. Selection determines the information found in the secondary tabs.
Overview - General information on the currently selected garage
Users – This page provides User information associated with the currently selected garage
Vehicles – This page lets you search and manage cars linked to an account, showing details like license plate, subscription plan, payment info, and more — with options to sort and view deleted vehicles.
Wash Activity - This page helps you track car washes by showing who used the service, when and where it happened, and what type of wash was done — with easy options to search, sort, and export the info.
Remote Washes – This page tracks the remote washes used and available to the specific account.
Subscription History – This page shows changes to car wash plans — like updates to pricing or plan type — and lets you search by subscription ID, with a note that updates may take up to 10 minutes to appear.
Billing/Payments
Payment Method - The default payment on file.
Invoice History - A list of invoices for the account.
Wallet Management - Shows the credits the customer currently has.
Comments
Most large changes to an account require a comment to be made and timestamped during the process. Those related comments are found here.
Activity Logs
Logins - Shows all logins to the account, and the associated information pulled.
Acknowledgements - Shows any signatures of Acknowledgements
Game Activity - Shows any Spin-to-win attempts.
Coupon Redemptions - Shows the history of coupon redemptions.
Loyalty
The "Loyalty" page shows the points balance and history, including how many points that have been earned, used, or expired — and lets you add new points or search past activity by reference ID or category.
