Legacy records allow the creation of a plan in AMP mid-billing period.
The normal flow would work as such:
1. A customer has a plan in the POS and wishes to "migrate" their plan to the app to gain app benefits.
2. The customer (or an attendant) looks up their legacy record, which contains their plan level, price, vehicle info, and the POS information necessary to perform the migration.
3. The migration process starts, and AMP programmatically contacts the POS to migrate the record.
Occasionally, you may wish to allow for a plan to be created mid-billing period where the POS is not contacted.
These cases may include:
- when POS information is not known
- when you are attempting to change a bill date
- when you are attempting to merge two accounts where cancelation of one of the plans is required, and you wish to preserve the billing cycle
In these cases, you may create a legacy record that doesn't contain POS information
- this prevents the POS from being contacted but still allows for a migration to occur, which facilitates the creation of a plan mid-billing cycle in AMP.
Note: if you are attempting to create a legacy plan and suspect that an active billing plan does, in fact, exist in the POS, you must separately ensure that the legacy plan is canceled to prevent double billing. This is typically a step in the normal migration process as part of step 3 above.
To create the "fake" legacy record in the portal, follow these steps:
In the portal, click Users & Accounts > Legacy Members.
Click New Legacy Members in the top right-hand corner.
Add the Legacy Customer ID and Legacy Plan ID.
These must be unique values. Use the customer's phone number and append “_as_plan_id” and “_as_customer_id” to make sure they are distinct.
Leave the Integration dropdown and POS Name field blank.
This ensures the system does not attempt to communicate with the POS at the time of migration to look for a plan.
Fill in the POS Location field.
The POS location is normally based on where the customer signed up. Add the location code where the customer normally washes, but any valid location code will work.
In the portal, under Locations & Washes > Locations.
Click on the specific location and find the Location Code. This will be used on the legacy record.
Fill in the Required fields.
(1) Next Billing Date - the recurring billing date for the plan.
(2) AMP Mapped Plan - the plan the customer will be on.
(3) AMP Plan Price - the price the customer will pay.
(4) License Plate/RFID - at least one must be filled out for the record.
Create the legacy record.
This plan can now be migrated to the customer's account.
